Welcome to Shared Health!

We greatly appreciate your willingness to support COVID-19-related efforts in the delivery of health care services across Manitoba.

This correspondence provides you with the necessary access information, overview of the Learning Management System (LMS) and your required training.

Please Note: On your first shift, you are responsible to find a clinical manager or lead and sign the Personal Health Information Act (PHIA) pledge card.

Access Information

As an employee of Shared Health, you have been provided the following new login information to enable you to access Shared Health’s network and tools for employees:

Temporary password: <<pasword>>

Note: This account is explicit to your COVID Immunizer/Navigator Role. If you have existing account(s) from other roles/employment they can remain and be used separately.

1. Please log into Microsoft Outlook Web Access (https://webmail.manitoba-ehealth.ca/) using your Shared Health User Name and the temporary password from above. You will be prompted to change your password, create a new password immediately and save it as the temporary password only works once.
Passwords must be a minimum of 8 characters and must include Capitals and/or number or characters.

2. IMPORTANT Protecting Your Account – Authentication Questions & Answers

Your answers to the Authentication Questions are required to allow the Service Desk to identify you if you ever require assistance, including log in or access issues.
After you have accessed your email (step 1) and created a new password, use the Authentication Link below to fill out and submit your Questions and Answers.
NOTE: Please do NOT share the link, it is only intended for your use only.

  • Log in using your Shared Health User Name and new password

  • Click on “Update Challenge Questions” and select you desired Questions and provide your Answers, then click on “Submit Request”

  • You will be automatically notified that your Challenge Question submission is complete.


Required Training:

Training for All Employees

Certain courses must be completed by all employees. These are taken online, through our Learning Management System (LMS), which is available through any internet-enabled computer. You have 90 days to complete the LMS training.

3. You will need to create an LMS account. Detailed information can be found at How to Access LMS.

Once you have a LMS account, you will need to login and, register to complete five courses listed below within one week.

Required Courses for All employees:

The courses will take approximately 2.5 hours to complete. Once you complete your courses. Send screen captures of your completion certificates to VITFtraining@sharedhealthmb.ca with the subject line: LMS Training Pay

Navigator Training Requirements

If you have been hired as a Navigator you will also need to completed the following LMS course within 1 week.


You will be paid for this Navigator course by VITF training after completion. VITF training has access to your Navigator training record so you do not need to submit a completion certificate for Navigator.

After your Navigator training is complete, Petal MD will send an email to your Shared Health account, you will have to click on the link in that email to activate your Petal MD account. Once you activate it you will be scheduled for shifts.

Additional COVID 19 Immunization Site Clinic Portal Training

The COVID-19 Immunization Site Clinical Portal is a second way of accessing Client vaccination information. You will have access to the portal using your Shard Health ID. Immunizer Training Requirements

If you have been hired as an Immunizer, you will be required to complete the following LMS course within 1 week.

This course covers an overview of PHIMS as well as video tutorials and key links to reference guides. You will be paid for this course by VITF training after completion. VITF training has access to your training record so you do not need to submit a completion certificate.

PHIMS Clerk Training Requirements

If you have been hired as an PHIMS Clerk, you will be required to complete the following LMS course within 1 week.


Important Information regarding PHIMS training and System Access – for Immunizer and Clerk/Admin roles

Both the above courses cover overviews of PHIMS as well as specific video tutorials and key links to reference guides. You will be paid for the course by VITF training after completion. VITF training has access to your training record so you do not need to submit a completion certificate.

You will get PHIMS (Public Health Information Management System) access after all your training is complete so you will be able to carry out your clinic role. If you are designated to work in a supercenter, you will NOT be able to test your login from home as your access is limited to internal PHIMS access only.

How to Log In to PHIMS

1. Click Start Menu

2. Click Google Chrome Browser shortcut found on the start Menu

3. Log in to PHIMS with your Shared Health User ID and Password

4. Once you are done with PHIMS or the clinic is done, Please LOG OUT to PHIMS and close the browser. DO NOT TURN OFF the Laptop.

Photo ID Badge reminder

Staff are required to have their photo ID badge / access swipe card with them at all times while at work. To arrange for your badge, please do the following:

  • Take a new picture of yourself – head and shoulders only - against a white background. A medium-sized jpeg file is preferred.

  • Send an email to photoid@sharedhealthmb.ca that includes the photo, your legal name, and the title and location of the position you have been hired into.

Please provide the requirements promptly to have your badge prepared. Your ID badge will be at your worksite, please pick it up at your first shift or shortly after.
